Position Overview
The Trademark Docketing Specialist is responsible for managing the full lifecycle of trademark applications and registrations. This role focuses on accurate docketing, deadline tracking, and efficient processing of correspondence from the USPTO, clients, and international trademark offices.


Key Responsibilities

  • Reviews and processes high volumes of email, mail, correspondence, and pleadings related to trademark matters from the USPTO, clients, foreign counsel, and international trademark offices.
  • Maintains trademark attorney dockets using a web-based system and keeps detailed, accurate records to support deadline and procedure inquiries.
  • Adheres to established training materials and standard operating procedures to ensure consistency and quality.
  • Saves documents using firm naming conventions, files them to the correct client/matter folders, and routes materials to the appropriate legal teams.
  • Generates detailed portfolio reports, including upcoming deadlines, status updates, and required actions.
  • Maintains current docketing team protocols and contributes to process improvements.
  • Assists with additional docketing duties, reporting, and special projects as needed.
  • Performs other tasks as assigned, demonstrating flexibility and a commitment to supporting firm-wide objectives.

Qualifications

  • Minimum of two (2) years of trademark docketing experience required.
  • Associate's degree preferred.
  • Experience with trademark docketing software.
  • Strong interpersonal, written, and oral communication skills.
  • Prior knowledge of U.S. and foreign trademark prosecution processes is strongly preferred.
  • Ability to navigate USPTO, WIPO, and other trademark-related websites.
  • Demonstrated ability to quickly learn new software applications.
  • Excellent attention to detail, proofreading accuracy, and organizational skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Ability to handle confidential and sensitive information with discretion.
  • Comfortable working with individuals at all levels of seniority within the firm.
